Your manuscript, ideas, outline, and any creative content you share with Qalm Media are treated as strictly confidential from the moment you submit them. This applies to free evaluation submissions and paid engagements alike.
This Confidentiality Policy explains what we consider confidential, how we handle and protect that information, who may access it for a legitimate project purpose, and what your rights are regarding submitted content.
1. What We Consider Confidential
The following categories of information submitted to Qalm Media are treated as confidential:
- Manuscripts, partial drafts, and unpublished writing in any form
- Outlines, chapter plans, story concepts, and book proposals
- Ideas, themes, and subject matter shared in inquiry forms, emails, or discovery calls
- Personal or professional background information shared in the context of a project
- Business strategies, proprietary methodologies, or sensitive information contained within a manuscript or shared during service delivery
- The existence of the engagement itself, where requested
2. How We Handle Your Confidential Information
Qalm Media operates under the following practices with respect to all confidential submissions:
- No sale or unrelated disclosure. We do not sell, license, publish, or disclose your manuscript, outline, or creative content for an unrelated purpose.
- Need-to-know access. Access is restricted to the team members, approved specialists, and service providers who need the material to evaluate, administer, secure, or deliver the requested work. They are expected to maintain appropriate confidentiality.
- No publication or reproduction. We do not publish, reproduce, reference, or excerpt your unpublished content for any purpose, including marketing, case studies, or portfolio use, without your explicit written permission.
- No use beyond the scope of your engagement. Content you submit is used solely for the purpose of delivering the evaluation or service you have requested.
- Secure handling. We take reasonable steps to store and transmit your submitted materials securely. Files submitted through our website or by email are handled with appropriate care.
3. Free Manuscript Evaluation
Manuscripts and outlines submitted for a free evaluation are subject to the same confidentiality principles as paid-engagement submissions. Access is limited to the people and systems reasonably needed to receive, review, secure, and respond to the submission.
You may request deletion of your submitted file at any time by emailing info@qalmmedia.com. We will confirm deletion within a reasonable timeframe.
4. Ghostwriting and Paid Engagements
For paid ghostwriting engagements, confidentiality terms are incorporated into the Service Agreement signed between you and Qalm Media. Depending on the nature and sensitivity of the project, a standalone Non-Disclosure Agreement (NDA) may also be made available upon request or as part of the project documentation.
Under our standard ghostwriting terms:
- We do not claim authorship credit on any work we produce for you.
- We do not publicly disclose our involvement without permission, except where disclosure is required by law or necessary to enforce an agreement.
- We do not use ghostwritten content for our own publishing, marketing, training, or portfolio purposes without permission.
- The completed work belongs to you upon full payment of agreed fees, as specified in your Service Agreement.
5. Subcontractors and Collaborators
In some cases, Qalm Media may engage specialist subcontractors - such as cover designers, proofreaders, or formatters - to assist with elements of your project. When this occurs:
- Subcontractors are provided only with the materials necessary to complete their specific portion of the work.
- Subcontractors are required to maintain confidentiality of all client materials they access.
- Subcontractors do not receive access to your full manuscript unless it is directly relevant to their role.
6. Exceptions to Confidentiality
Qalm Media may disclose confidential information only in the following limited circumstances:
- Where you have given explicit written consent to the disclosure
- Where disclosure is required by law, court order, or a lawful request from a regulatory authority
- Where the information has become publicly available through no action of Qalm Media
7. Retention and Deletion
We retain submitted files and project documents for the duration of the evaluation or engagement and for a reasonable period afterward for follow-up, backup, security, contractual, dispute, and legal purposes. Upon written request, we will delete eligible files from active systems within a reasonable period, subject to contractual obligations, routine backup cycles, and records we must retain by law.
To request deletion of your submitted content, email info@qalmmedia.com with the subject line "Content Deletion Request."
8. Your Rights Regarding Submitted Content
You retain full ownership of all creative content you submit to Qalm Media. Submitting content to us for evaluation or service delivery does not transfer any intellectual property rights to us. We hold no claim over your submitted manuscripts, outlines, or ideas.
You may request access to any personal information we hold about you, request correction of inaccurate information, or request deletion of your data by contacting us at info@qalmmedia.com.
